All Vendors and Sponsors with a Pop-UP, Tent, or similar covering must be tied down, weighted, strapped, or otherwise secured. Your covering, tables, chairs, displays, and merchandise must also be secure. You are responsible for any damage your property or equipment causes to any other vendors, show cars, people, or property.
Insurance:
Insurance – All of our food vendors and regular vendors are required to register online, and you MUST provide your own liability insurance and name Kool April Nites as “additional insured” on Vendors liability policy. As insurance policies change, we require a NEW Certificate of Insurance for each year.
Minimum limits are $1,000,000 CSL. Please use this information on your Certificate of Liability Insurance:

For our Vendors, the show opens at the Civic Auditorium on

Please do not submit an application to be a food vendor until you have contacted our Vendor Coordinator at vendors@koolaprilnites.com. Please be aware, we give preference to our returning food vendors as space is limited.

We need your complete information by April 1, 2025, so we can fill out the necessary Special Event Application. Information includes Business Name, contact person, phone number, number of employees that will be present at your booth, menu or list of foods and products you furnish.
Fees
Food Vendors: that sell prepared food, there is a flat fee of $375. For food vendors selling only drinks, the flat fee is $150 per site. An initial fee of $100 is due and payable when your application is submitted. The balance will be due on Friday, April 18, 2025, at 5pm. Applications are all due on Friday, April 18, 2025; thereafter, a late fee of $25 will be added.
All Food Vendors must request electrical power. List the number of outlets, voltage, amps.
(Example: 2 ea. 220V, 50 amp service)
*Tentative*: There might be an “informational meeting” in March or early April for all Food Vendors. The vendor coordinator will contact you in advance of the time/location. More information is included in the application for your reading enjoyment! Welcome to the Show!
KAN will again provide ice service. We will have ice on site. There will be two lovely ladies on a golf cart, patrolling the food vendor area. Just flag them down or go to Kool Korner. Let them know how much ice you need and where your booth is. They will deliver to your site. Then you just sign a delivery tag. We will settle up at the end of the day.

Booth spaces are $200 for 1st 10’x10′ space, $100 for each 10′ added. Large rigs needing space over 10′ in width or depth should contact the Vendor Coordinator first to establish the price. Vendors will be provided with 2 all access passes with a 10’x10′ space. Please talk to our Vendor Liaison if you need additional passes.
Please be aware, we will most likely be utilizing the same map structure for each year’s show.
We close our online applications after April 14th, 2025. Please contact the Vendor Coordinator at vendor@koolaprilnites.com to see if there is available space.
Availability and Check In:

All booth space is on a first come, first served basis. Returning vendors and car related accessory vendors have first priority. If you had a booth in the last KAN show, notify us no later than February of your intent to return. If we have not heard from you then, your space will be reassigned.
KAN has obtained a special permit for basic electrical service; however, it would be better to bring your own generator. If you need electrical service for your display, check the appropriate box on the exhibit space contract. If you require power, you MUST let the Vendor Coordinator know at the time of your application submission. If you fail to let the Vendor Coordinator know ahead of time about your power needs, power will not be able to be provided day of event.
Kool April Nites is operated by volunteers, we do not have staff that will be able to help you with Vendor Set-ups or Take Downs.

Vendor Load in:
Those of you parking “Under the Bridge” in front of the main Civic entrance downstairs will be directed to enter that vendor area from the right side (Hotel side). Find your spot and park your vehicle at the curb on the right-hand side of the road. When you are off loading your booth and display, DO NOT double park or block access. This will help keep the left-hand lane open for LE, Fire, EMT, Ambulance.
ALL VENDORS must be off Civic Property by 2 pm Sunday 4/27/2025.
*If you must leave after the show on Saturday, you CANNOT break down your site until after 4 pm. ***NO EXCEPTIONS***

Important Vendor Information
Temporary Business License for City of Redding.
The City of Redding requires a temporary license for you to sell within the city limits. Please select “City of Redding Business License” from the menu at left of application information on City’s website. While the application is generic and is not necessarily designed for temporary vendor licenses, we highly recommend that you call the City Clerk’s Office to obtain detailed information and pricing. City of Redding Temporary Business License City Clerks Office (530) 225-4056. The basic license starts at a fee of $13.50, but if you are a professional service or amusement those fees will be higher. NOTE: The City Clerk’s Office is typically closed every other Friday.
California Sales Tax Number Requirement
Merchandise vendors please note: You must have a California Sales Tax Number (Resale #) before your application will be accepted. Please send your application to the State Board two-four weeks before the event. Information can be obtained at the following website: http://www.boe.ca.gov/info/reg.htm
California Sales and Use Tax: The State of California has a sales use tax minimum fee (MTF) of $800 for certain S corporations, LLC’s and Partnerships. Please have your tax accountant look at (Article 17, Regulation 1684) if you are not from California. There also appears to be exceptions to this MTF:
They did not conduct any business in California during the tax year.
Their tax year was 15 days or less.
Individuals and Sole Proprietors do not appear to have this minimum tax fee (MTF) but are all subject to the standard tax laws of the minimum gross revenue/income filing amounts.

All vendors need to give the Director of Vendors the name of their contact person for your booth, with cell and text number. The Dir of Vendors will make sure each contact person has his/her Cell/Text Number. Should there be any issue or emergency with regards to your booth, the security supervisor will contact the Dir of Vendors, who in turn will contact your contact person to advise them of any issue.
